How to Write A Business Case

Published : , on

The job of managing a project, at a glance, may appear difficult. But buy-ins from appropriate parties will make it real fun for a knowledgeable manager. Here comes a strong business case to your assistance.

Preparing for a drastic change

The first step towards writing a business case is analyzing the cause of failure.Almost all businesses use best practices in the industry to manage a project. Still, millions of projects fail miserably. The reason, according to experts, is three-fold.

  1. Lack of planning

A project may have everyone actively involved in the team. But lack of planning creates stagnation at a particular point. And your team loses direction and starts wandering here and there to its doom.

  1. Poor business case

A poor business case may explain why a project failed miserably. In the absence of a strong business case, your team may become clueless. They will have no idea what to work on. This disappoints shareholders and the company suffers badly.

  1. Lack of involvement from top leadership

Lack of involvement from top leadership spells death for a project. It makes it difficult for a manager to take decisions. This delays progress and tests the patience of your shareholders.

Tips to write a business case

Following are some practical tips to help you prepare a strong business case.

  1. Determine if the change you plan to bring addresses the concerns

Do your homework and determine if the change you suggest is a solution for the present difficulty. You can do the following for the purpose.

  • Prepare a list of the solutions available
  • List the benefits of each one in the list. Don’t forget to calculate the costs involved. You should also consider the risks and benefits of each one.
  • Choose the one you find most beneficial.
  • Write down the same in the case and vouch for it. Make sure that your arguments are based on concrete facts.
  1. Finalize the plan

You did your homework. Now is the time to finalize the plan. Do research on the proper format and structure of a good business case. Here is the listing of a general structure.

  • Summary
  • Introduction
  • The statement
  • A detailed analysis of the problem
  • A listing of the solutions available
  • Your own recommendations
  • A detailed discussion of the solution you prefer
  • Conclusion
  1. Proofread it
  • Go for simple language when writing a business case. When doing so, you help readers understand the problem. It also makes it easier for you to explain your point.
  • Check for grammatical and spelling errors. The best option is to ask someone else to read it. If that person can understand your point, you did a perfect job. If not, rewrite it until it gets simpler.

In addition, request assistance from the group that has to implement the plan. They may not be the team responsible for making decisions. However, they would suggest changes if they feel the need. Incorporate the ones you feel would suit best to your plan.

Before submitting, read it as many times as you can. This will help you avoid nervousness. Remember, confidence is a must to convince your boss. Finally, present your business case before your boss. If the case is convincing enough, your project will get accepted. And the top leadership will definitely reward you amply.

What should be included in a business case?

Business case analysis is important when a business seeks funding. When evaluating potential funding opportunities, most private investors ask the company to supply them with a detailed business plan. The business plan is usually comprised of the executive summary, company overview, financial statements, and a statement of cash flow. Often, investors are impressed by the financial statements and think that the company will be successful. However, the business’s ability to meet their needs as well as the financial statements are not the only things that need to be evaluated when a funding decision is made.

Private investors often question whether the company has any documentation supporting their plans or they are simply looking at a “robot” or “code” system. While a comprehensive case can be very comprehensive and complex, there is no substitute for a well-written documentation supporting the business’s plans and objectives. There are many industry-specific templates that can be utilized. However, there are certain characteristics that are critical to the success of a case.

It is important to understand what the case is for. Typically, it is submitted to a lender or angel investor with the purpose of obtaining a loan or investment from them. Investors and lenders are interested in a clear understanding of the company’s business model and what future profitability possibilities exist. A case should demonstrate to the funding source (in the form of documentation) how the company will generate cash flow and eventually benefit from any future credit or equity financing that is obtained. A good case should also clearly demonstrate the company’s commitment to growth and its plans to enhance current operations.

A case should have two distinct parts: the “what”, and the “why”. The “what” part of the case should identify the business goal(s) and the “why” part should show the tangible results of the efforts. Often, this portion of the documentation is the most difficult to write. Many times, a company is so passionate about the case that they write the “why” and “what” without any evidence or support. This is bad, because the “why” and “what” in the case is usually what investors look for, in addition to the “what”.

The “Documentation” section of the document should contain everything that you can think of related to the business. Every piece of documentation should be used to support your position. If you have proof of a previous claim, use it. If you have internal or third party evidence backing up your claim, use it. It is important to document all types of documentation, because the more you can support your claim the better.

In some cases, there are going to be things that are extremely difficult to prove. It is not uncommon for a company to delay submitting a case until it has the opportunity to work on it fully. If you find yourself in such a position, do not procrastinate. Get started as soon as you can. Do not wait until the company receives the evidence or investigation to properly complete your case.

Most companies want to work with attorneys that have experience in the area. Do your homework to make sure that the attorney you choose has experience dealing with the issues that you need to work on. Find out if they are experienced in the local area. Do some research to see what other companies they have worked with before. You can even interview a few of them to see what their experience has been like.

What should be included in a business case does depend on what type of fraud or legal issue you need to address. For instance, you may wish to include bank statements so that you can prove that your company is legitimate. If you need documents to prove where your money is coming from, then it may be a good idea to use a travel expense account as proof. Some of the documentation that should be included can be incredibly detailed and difficult to re-sell or distribute. Others can be very basic, but still endearing to the customer and strengthen your case for fraud. Whichever documentation you use, make sure that it all adds up and supports your position.

What is a business case template?

A business case is a detailed executive summary of your project. It outlines the reasons why you are doing the project, and what you expect to achieve once completed. In many ways, a business case is the blueprint for a successful project. It is usually quite detailed, covering nearly every step you will take to complete the project. A business case template serves as an initial guide when writing a case study. It can then be reused across all your future projects and is often reusable within those projects as well.

Business cases can be prepared in different ways. You may wish to condense it into a single page, or use several different pages at various stages of the project, depending on the progress you are seeing. At the most basic level, however, a business case can outline the project costs, timescales and technical specifications, and present overall conclusions. At that point, you have completed a basic project plan and estimates but still need some direction to move in.

Your business case templates are very basic, so really get to grips with what you really need. I find it easiest to break down a problem into its most basic forms and then use those to create a document. You can then follow this with a more detailed description of the issues, their solutions and time-lines. Often enough, you’ll find you need to describe what is required in greater detail when planning the implementation phase of your project. That’s another of my two business case examples.

One of my first 2 business case examples involves a website project. My client was keen to launch a new website, which had been previously handled by a previous team. We’d previously designed and built the site, and in conjunction with their IT department, had put together a few simple web pages, which were static, very easy to use and very compliant with search engine guidelines. The next stage would be to add functionality to the site – primarily in terms of payment options, and perhaps also offering some sort of content management system (CMS) – so that existing customers could also take advantage of the new website and would also be able to submit any new orders. All this was to be completed in less than six weeks, with the brief being approved at around the same time.

Let’s assume this was a good business case, both in terms of the project proposal, and in terms of the technical specification of the website. But how on earth would you know what to include in the “What is a Business Case Template” document, and how do you know it really needs to go? There are a number of things you need to include. They will vary depending on the project sponsor, and their particular needs.

Naturally the first item on a business case include project costs. Clearly these must be set out and included in a spreadsheet, and preferably presented in a separate file. In this document there should be separate columns for project costs, one for the proposed budget, one for assumptions, another for assumptions and another for risk factors. These should be well explained, and there should be a sub-plot showing projected financial figures for each quarter over the period, covering the key areas of risk and budget. The cost of major risks, such as customer dissatisfaction, should also be graphically portrayed. A note should also be made about any contingency plans relating to these particular risks.

Next there should be a detailed description of why the project is needed, and why it will be required. By this I mean the reason why the project is needed, what the advantages are, what the disadvantages are, and how the project can best address them. This is really important, because you really need to be able to show why the project is needed, and what the advantages of doing it are, and why the disadvantages of not doing it are also really bad. The more comprehensive the information provided, the more convincing the business case template will be.

Finally there should be a concise executive summary, which should be just a couple of pages long. This is the most critical part of a business case, because the summary is the key to getting through the initial assessment phase and getting the project through all of the project stages. By providing a really good executive summary, the business case writer can make sure that all of the major risks and issues have been addressed, and there is sufficient information to enable the executives to make a cost-effective and appropriate decision. All of this will leave the organisation with enough money to get started on the next stage.

How can you make a business case?

In order to have a winning business case, you must know how to make a winning presentation. You need a winning argument, and you need to show that it has merit. This is a brief review of the basics of making an effective presentation in court.

First, you must establish your case. Your claim, as it is known, needs to be supported by documents and evidence. You should prepare a comprehensive case study, but you should also do some digging to find out what other cases similar to yours have achieved in the past. Gather as much information as you can, and use this to support your claim.

Next, you need to back up your claim with hard facts. Presentations are often about ‘arguments’. However, it’s important that you don’t just lob accusations or lye about on the couch in front of your witnesses! It helps to provide solid proof before you put your case before a judge or jury. This proof can include anything from accounting records, testimonials, competitor lists, and so on.

Third, you need to back up your case with strong legal theories. If you can prove that you are right, your argument could win the case. Put together a well-thought-out legal strategy. Don’t just rely on hearsay or general observations; if you have solid evidence, you need to present that evidence in your defense.

Fourth, you need to back up your business case with convincing evidence. Presentation is not enough. You need to give your audience a clear picture of your business opportunity. If your customer has ten different versions of your story, each different version can fail to convince a judge or jury. Be prepared to prove your claim with hard facts and a carefully crafted argument.

Fifth, you need to keep the jury or judge’s attention focused on your business idea. If your business does not solve a problem, it will not go anywhere. Even if your case is stronger than your opponent, it will fail if your issue is not a critical, real problem. Keep your audience focused on the potential value of what you are proposing. If they are struggling to make ends meet, offer a solution for their current problem.

Sixth, you need to be careful not to overpromise. The devil is in the details. If your pitch is too long, people will lose interest. However, it is not necessary to run out to the printer and toner every sentence. If the information is presented effectively through bullet points and organized into an outline, then you have done your job.

How can you make a business case? By presenting compelling ideas, your case should stand up to scrutiny and should give the reader confidence to move forward with confidence in your proposed solution. You need to know that you are providing someone with a real opportunity. Then you can stand back and look at your case study with a healthy amount of self-esteem.

Before you begin to write, sit down with a pen and paper and make a list of your key points. Write out your key points on one side of a sheet of paper, but also write down your estimated time frame to complete the case study. Make sure to list all your required documents as well. Once you have your outline and all your required information, you can contact a case study designer or writing professional. They can help guide you toward your desired result.

You will also want to consider your audience. Your audience could consist of business owners who are in the early stages of planning, business owners who are in the middle of management, and business managers who are ready to take on management responsibilities. It really doesn’t matter. What matters most is that you present an effective argument for your case study. You will find that your arguments will hold more weight if you do it in an engaging way and leave the reader wanting more.

Once you have finished your outline, read it out loud and make sure that it is accurate. This will give you a sense of purpose and direction. Next, you will need to research any current case studies that you find particularly applicable to your needs. There are many resources available online to help you research case studies. In addition, make sure to check out current textbooks that address similar topics.

Once you have researched your case study and written it out, you are ready to start working on it. Start by searching the Internet for articles, case studies, and other information. Remember that in order for your case study to be useful, you need to include important supporting information as well. Use all of the information that you gather to create an excellent case study.

Why you need a business case?

You might be asking yourself “Why do I need a business case?” After all, there really is no need to have one with all of the technical terms and information that come along with a standard business plan. However, you should never underestimate the importance of these documents. They can offer a lot of advice and a clear path for your business and can also provide information about what is not going to work in your unique circumstances.

For example, when writing a business case, you will need to determine whether or not you are going to need to raise capital. If you are interested in a private investor, you will need to include this factor in your reasoning. Otherwise, if you are going to use a bank as your source of funding, you need to know what their lending requirements are and how much risk you are willing to take.

Will your business need to rely on seasonal revenues? In some cases, it can make sense to fund a project based upon the past in order to eliminate any risk associated with the present. On the other hand, many companies have experienced great success when starting up operations in the wintertime. Are you going to need to secure a lender in the event that your cash flow does not materialize for several months? Knowing how your financial situation will play out over the course of the year will help you decide whether or not financing is a risk worth taking.

Why do you need a business case? Consider an automobile company that needs to replace all of their fleet vehicles. The question before them is: How much money do we have to spend? The answers to both questions are going to vary depending upon how many vehicles they need to replace, and the amount of revenue they expect to bring in.

Even though you may have a general idea of how your business is going to operate, there are still questions that you need to answer before you file for business ownership. Why is going to have sales at the end of the month? What is the highest and lowest revenue quarter in the last year? By carefully considering these questions prior to opening up your doors, you will be able to give your new business the foundation it needs to succeed.

If you have access to the financial statements of your company, it is often possible to create a customized business case. The reason that this is so beneficial is that it will allow you to look at things from a different perspective. Rather than looking at the whole business from a customer’s perspective, you will be able to consider your competitors instead.

Another reason that you need to utilize a business case is because it allows you to consider multiple scenarios rather than being limited to just a few. It can give you a much more practical view of the business and where it is going. For example, if you are thinking about starting your own cleaning service but you only have five hundred dollars to start up your business, you are not going to have the financial resources to hire a great janitorial service and rent office space. By using a business case, you can examine all of the different aspects of your business instead of just looking at one facet. In fact, it may actually make your decision easier!

Why you need a business case also becomes very apparent when you start to consider expansion. You may have the idea that you are going to open a nail salon. However, in order to get started in a highly competitive market, you need to expand your services. How are you going to do this? Do you need another store? By using a case study, you will be able to expand your business without having to spend a great deal of money on opening a new facility.

What are the Structures of the Business Case?

A business case is essentially a report that describes the project, how it will be executed, how it will be tracked, who is involved in the execution and what your end goals are. The business case is the heart and soul of a project. As such, any report that does not address the key issues in a business case and its implications is severely limiting to the overall usefulness of the information that can be derived from it.

How is this accomplished? Most consultants and executives ignore the documentation that is generated during project management. This documentation can include anything from an executive summary to a set of recommendations. However, it is vital that these documents be considered because of the way that they are structured and what information they contain. Without this information, a project can be very difficult to implement and track because there are many elements that need to be considered.

In most cases, an individual or team that is working on a project will specialize in a certain area. Therefore, a business case needs to be tailored to that particular area or team. This will make it much easier to compare and contrast the information contained within the documents. This is why the business case needs to be tailored for each particular project.

Also, it is important to understand what are the structures of the case. This is because some individuals can become overwhelmed with the amount of information that is available to them. For instance, if someone is tasked to build a new site for an oil refineries, then there is a lot of information to take in. This person might want to have a copy of the feasibility study before they begin. It is also important to ensure that they have a copy of the project’s status after it is complete to ensure that the expectations are met.

Each project has a unique format that will need to be considered. Therefore, it is crucial to understand what are the structures of the business case before starting a project. This will make it easier to determine whether or not a project is feasible, whether or not the documents will be appropriate, and if certain documents are needed.

One of the first areas to consider is the scope of the project. A general case may be constructed by any given team. However, when talking about a major project, this will be divided into smaller tasks and briefs. This is because each team will have its own expectations and may require different amounts of documents and other forms of information.

The next area to consider is the functionality of the project. This is determined by the project manager and can range from functionality related to how the project will affect the organization to the extent that the change will be positive or negative. Additionally, the project manager will want to provide the team with the facts they need in order to make informed decisions. In most cases, teams will begin by obtaining a feasibility study. This is an analysis of how the project would affect the company’s present and future situation.

Finally, it will help to look at what are the structures of the business case when working on a software development project. These include things such as project management and risk management. By having these in place, the team will be able to develop a complete and accurate examination of the project.

What are the structures of the business case for software development projects? These are really more of a guideline than anything else. The purpose is to allow the business to look at the project from many different perspectives. In many ways, this can serve as a skeleton for the project.

The purpose of this isn’t to say that the business case for a software project should never be reworked. It just needs to be reviewed periodically in order to keep everything in order. Many companies review their case studies or assessments every six months to a year. The purpose of this is to keep the business aware of any changes that may need to be made and any new issues that may pop up as a result. In addition, it enables those involved in the project to see where things are currently at.

As you can see, there are really two basic types of what are the structures of the case. They both address issues related to project management. If you find a business case that you can adapt, then you have found an effective way to use the project management process within your organization. Good luck!
